JOB DESCRIPTION Job Title: Administrative Assistant to the Supervisor of Maintenance and Transportation Employment: Twelve Months Reports to: Supervisor of Maintenance and Transportation Supervises: No Supervisory Responsibilities Qualifications: ? High School diploma or equivalent, college degree preferred. ? Secretarial experience in maintenance, transportation, and construction, or combination of experience and education. ? Command of business English and able to write letters using correct grammar, spelling, and punctuation. ? Knowledge of office procedures and basic bookkeeping procedures; data input. ? Communicate with others in a clear and precise manner, problem solving, analyze issues, create plans of action and reach solutions. ? Maintain confidentiality of records and correspondence. ? Relates to the public, staff and administration in a positive manner. ? Effectively use a variety of computer programs to include, but not limited to: Excel and complex database programs such as School Dude and Edulog . ? Keyboard proficiency. Essential Functions: ? Performs administrative/clerical duties for the purpose of assisting the Director in the performance of their work and the efficient operation of the Maintenance and Transportation Departments. ? Ability to communicate effectively with individuals and groups, both verbally and in writing. ? Demonstrates effective human relations skills. ? Willingness to become knowledgeable regarding select policies, regulations and legal requirements as related to Maintenance and Transportation. ? Assists in developing and revising Governing Board policies and regulations of the District and implements as appropriate. ? Attends meetings for the purpose of conveying and/or gathering information required to perform functions. ? Prepares reports for Director as needed. ? Maintains various records and compiles pertinent information for Director’s use. ? Prepares reports and studies for the purpose of providing information to the Board, Superintendent, other staff, and the public and/or complying with regulatory requirements. (School Dude, SFB, Transportation). ? Responds to inquiries for the purpose of providing information and/or direction. ? Assists other office personnel as required in supporting them in the completion of their work activities. ? Maintains records/files for the purpose of documenting and/or providing reliable information and compliance with all applicable laws, statutes, and policy requirements. ? Attends meetings as required for receiving and conveying information. ? Composes documents for the purpose of communicating information to school and district personnel, the public, state officials, etc. using correct grammar, spelling and punctuation. Ability to perform and apply basic math including calculation of fractions, percents and/or ratios; read and interpret instructions; and understand multiple step instructions. ? Ability to perform multiple technical tasks to manage electronic records. ? Ability to prioritize work and make good decisions in the absence of the Director. ? Ability to work under standardized instructions and/or routines; provide information and/or advising others; and operating within a defined budget and/or financial guidelines. ? Maintains the Director’s calendar. ? Processes business documents and materials (e.g. purchase requisitions, purchase orders, payroll records, work orders, agendas, mail, etc.) ? Responds to inquiries from various internal and external parties (e.g. district staff, public agencies, etc.) for the purpose of providing information, facilitating communication among departments and/or providing direction as may be required. ? Independently researches issues/concerns and brings them to resolution. ? Schedules various meetings for the purpose of assisting in meeting staff needs and efficient utilization of personnel, equipment and facilities. ? Monitors and updates various trainings/events (e.g. Safety, Blood Borne Pathogens, etc.) ? Regular and punctual attendance required to meet essential functions of job responsibilities. ? Perform other duties as assigned.
